Codebooks

Set up and maintain the shared lists of values Lexra uses across every module.

Note:  Set up codebooks at the very beginning, before you start entering cases and other data.
Note:  Some codebooks are interdependent. Enter basic codebooks before dependent ones — for example, Case type before Case category.
Note:  If you cannot see this option, you may not have the required permissions. Contact your office administrator.

Available codebooks

Codebook Description
Country Countries for entering addresses and contact details.
City Cities linked to the Country codebook.
Currency Currencies for activity prices and invoices.
Other person type Types of persons added to a case as other persons.
Client position Party positions in proceedings (e.g. Claimant, Defendant, Applicant).
Case colour Colours for visually labelling cases.
Case status Case statuses (e.g. Open, In Progress, Closed).
Case type Case types (e.g. Civil, Criminal, Employment). Enter before Case category.
Case category Case categories linked to case types. Requires Case type first.
Task reminder Reminder types available when creating tasks.
Invoice type Invoice types in the Invoices module.
Fee type Fee types for cost calculations.
Job title Job titles of users in the office.
Payment method Payment methods used in activities and invoices.
Priority Task priorities (e.g. Low, Medium, High).
Task type Task types (e.g. Administrative, Court, Legal, Research).
Activity type Activity types recorded in the system.
Task status Task statuses used in Tasks and the Kanban board.
Custom fields User-defined fields that can be added to cases.

Open a codebook

  • In the main menu, click Codebooks.
  • Click the codebook you want to work with.

Add a new record

  • Click Add (+).
  • Complete the required fields.
  • Click Save.

The new record appears in the codebook and becomes available across the system.

Edit an existing record

  • Find the record you want to edit.
  • Click Edit (pencil icon).
  • Modify the details.
  • Click Save.

Changes apply automatically everywhere the record is used.

Delete a record

  • Find the record you want to delete.
  • Click Delete.
  • Confirm the deletion.
Note:  Before deleting, check whether the record is used in cases, tasks, activities, or invoices.

Search and sort data

  • Use the search field to find a specific record.
  • Click a column heading to sort the data.

Export data to Excel

  • Click Export to Excel.

Lexra generates an Excel document with the currently displayed data from the selected codebook.

Where codebooks are used

Feature Codebooks
Cases Case type, Case category, Case status, Case colour.
Tasks Task type, Task status, Priority, Task reminder.
Activities Activity type, Currency, Payment method.
Invoices Invoice type, Fee type, Currency, Payment method.
People Client position, Other person type.
Users Job title.
